In Interaxo BIM Data, projects, users and shared settings all belong to a company. Company administration is where you manage what applies across every project in your company: who has access and with which role, invitations, shared category presets and collections, and stuck jobs.
Settings for a single project, such as models, parameters and who can do what inside the project, are managed in the project itself. See Permissions.
Open Company administration
Click Administration (the lock icon) on the left menu. If you are a member of more than one company, first check that the right company is selected in the list at the top of the page.
Company administration has these tabs:
| Tab | What you do there |
| Presets | Manage category presets that can be used when creating new projects. |
| Category collections | Manage shared lists of categories used to filter the data grid and in bookmarks. |
| Company users and roles | See everyone in the company, change their company role, invite or remove users. |
| Invitations | See invitations that haven't been accepted or delete them. |
| Jobs | Cancel jobs, such as model synchronizations that have stopped responding. |
Company roles
Everyone in a company has exactly one company role. The company role decides what a user can do across all projects. What they can do inside a single project is decided by that project's permissions.
| Company role | What it gives | Typical user |
| Administrator | Full access to everything in the company: all projects, Company administration, and company users and roles. | The person responsible for Interaxo BIM Data in your organization |
| Projects administrator | Can create new projects and manage all existing projects, including inviting users to projects and adding them to groups. Can’t manage users at company level. | BIM coordinators who set up and run projects |
| Observer | No access across the company. The user only gets access to the projects they are added to, with the permissions given in each project. Users removed from all projects still appear in the list. | Everyone else, including users who are administrators in a single project |
A typical set-up: a Projects administrator creates a new project and invites a project administrator for it. That person then invites the project members and sets their permissions.
Manage company users
Go to Administration › Company users and roles. The table lists every user in the company with their role. The panel on the right explains each role.
Invite a user to the company
- Click Invite user at the top right.
- Enter the user's e-mail address and choose their company role.
- The user gets an e-mail and joins the company when they accept it with the link in the e-mail. Until then, the invitation is listed under Invitations.
If someone only needs access to one project, you don't have to invite them here. Invite them from the project's Permissions page instead. If they aren't already in the company, they join it as an Observer.
Change a user's role
In the user's row, select the new role.
Remove a user from the company
Click the bin icon at the end of the user's row. The user loses access to every project in the company and gets an e-mail saying they have been removed.
Users in several companies
One user can be a member of several companies, with a different role in each. They choose the company when they log in. They can also switch company in the list at the top of the page. See Log in to Interaxo BIM Data.
Invitations
The Invitations tab lists invitations that haven't been accepted yet, who sent them, and whether they have expired.
- Invitations expire after a few weeks. An expired invitation can't be used.
- Click Delete to remove an invitation. The link in the e-mail then stops working.
- To give someone a new invitation, delete the old one and invite them again from Company users and roles.
Presets
A category preset is a saved set of categories. When you create a custom project, you can pick a preset, so the project starts with the categories you usually need, instead of selecting them one by one.
Presets on this tab are shared with everyone in the company who creates projects. You can create, edit, duplicate and delete them here. See Category Collections below for how to manage the Presets.
Category collections
A category collection is a named list of categories, for example “ARK” for architectural categories or “Furniture”. You use collections to filter the data grid and when you create bookmarks. Category collections used to be called grid filters.
- Choose a collection from the list. The object type it applies to (for example Instance) is shown next to it.
- Use the buttons next to the list to create, edit, copy or delete a collection.
- Move categories between Available and Selected. Each category shows its name in Interaxo BIM Data, Revit, Archicad and Simplebim (IFC).
- A collection can be Public, so everyone in the company can use it in all projects, or Private.
- A collection that is used in a bookmark can't be deleted, or changed from Public to Private, until those bookmarks are deleted.
Note: Now, only the user who created a category collection can edit it. You can copy a category collection and make the changes needed, do not change what bookmarks uses the old collection so you need to change that too.
Jobs
The Jobs tab helps you sort out a job, such as a model synchronization, that has stopped responding. Normally you don't need to contact Interaxo Support to fix it.
- The list shows jobs that haven't made progress for a short time, and jobs that were cancelled earlier. A synchronization that is running normally isn't listed.
- Click Cancel on a stuck job. The job stops and the project is unlocked, so the model can be synchronized again.
- Cancelled jobs stay in the list with a grey Canceled button.
