Terms of Use
By using the simultaneous editing (Co-edit) functionality in Interaxo Project, the company confirms that it holds valid and sufficient Microsoft licenses for such use, in accordance with the applicable Microsoft license terms. If the company chooses to activate and use Co-edit for its users, the company is at all times fully and solely responsible for:
Ensuring that all relevant license and usage terms from Microsoft are complied with.
Holding the necessary and valid licenses for all users who use the functionality.
Ensuring that the use of Co-edit does not constitute a breach of any third-party license or rights agreements.
Introduction
Simultaneous editing in Interaxo Project is based on Microsoft 365’s editing tools. When you open a document for co-authoring, Microsoft handles the interface, editing features, and real-time collaboration. Interaxo Project facilitates this by providing direct access to the document from the project folder, managing version control, and showing who is active in the document.
User Guide
1. Find the document
Open the folder or the item where the document is stored.
Select the document you want to work on.
2. Start editing
Click Edit.
Choose one of the options:
Normal editing – you work alone and the document is locked for others.
Simultaneous editing – multiple users can edit at the same time.
3. Edit in Microsoft 365
The document opens in Microsoft 365’s editing window.
All text editing, formatting, and real-time updates are managed by Microsoft 365, not Interaxo Project.
You can see active users (names/initials) at the top of the document in Microsoft 365.
4. Interaxo Project’s role
Interaxo Project ensures continuous minor versioning while the document is being edited.
Other users can see who is participating in an active editing session in the list view or inside the item.
5. Finish editing
When you are done, close the document directly in Microsoft 365.
The version is saved automatically and becomes immediately available in Interaxo Project.
What triggers a new major/minor version
Major version
- Editing: when using editing you can choose either a major or minor version, or by adding a new version.
Minor version
- Co-authoring:
- When the last co-author leaves the document.
- When all users close the co-authoring window.
- When a session expires (no activity / token expires).
Microsoft updates the co-authoring session approximately every 30 minutes.
- If the file has not been updated (edited) within a 30-minute window, with a +/- 15-minute buffer, the system treats this as a closed session and creates a new minor version.
Every change is stored locally in the session (at Microsoft) to ensure that no changes are lost.
