Summary:
In this user guide, you will learn how to:
1. Getting Started – How to start a task process from a model, camera, or video.
2. What the Form Contains – Understand the available options. (location, images, description, responsible party, deadline, and status)
3. Step by Step – Completing the entire task form.
This guide shows step-by-step how to create a Task in Interaxo Capture.
The following topics will be covered:
1.0 What is a Task
A task is used to assign and follow up on specific work assignments, regardless of whether they arise from an observation, a deviation, or planned work that needs to be done. While a deviation documents that something is wrong, the task ensures that a specific piece of work is actually carried out: someone is assigned responsibility, a deadline is set, and the status always shows the progress of the work. This provides traceability from the assigned task to completed work.
2.0 How to Create a Task
A task can be created in two ways in the app:
Directly from the model, map, or camera view:
- Open the app and select the desired work mode.
- Tap the registration type menu at the bottom of the screen and select Task. (Task is now selected as default and will be saved until the user switches to another process.)
- Tap the desired point in the model or map, or take a picture of the task.
- Tap + Create.
- Fill out the form and tap Create.
From an inspection: Create a registration of the type Task and link it to a specific checkpoint.
The workflow for filling out from an inspection is approximately the same as for regular registrations, but location and checkpoint are handled slightly differently. (See How to Work with Inspections for details about this workflow.)
3.0 How to Work with a Task
3.1 Fill Out the Fields
The order in which you fill out fields may vary slightly depending on which work mode you start from. In the section below, we show the entire workflow for an empty task registration, from top to bottom of the form. This way, you see all the steps that can be part of a task process—regardless of whether you started from a location, camera, or video.
Note: Which fields are shown and what must be filled out in order to create the task is determined by how the project is set up. Required fields will be clearly marked during the registration process.
3.2 Set Location
Location is a fundamental feature that is the same regardless of the type of registration you create and no matter where in the app you start from. You have two ways to set the location:
- Tap directly on a point in the 3D model or map. This is the fastest way when you are already in the model or map view.
- Use "Add Location" from within a task. Tap the button, then choose whether you want to place the point in the model or on the map. On the map, you can search for an address using the search icon or tap directly on the map to manually place the point.
Confirm to add the location.
Regardless of which method you use, the location is displayed as a card at the top of the form—either with the name of the model point or as "Area Location" with the address when the map is used.
3.3 Add Images and Videos
- Tap + under Images and Videos.
- Choose whether you want to take a new photo or video with the camera (switch between Photo and Video at the bottom of the camera view) or select an existing photo from the photo library.
- You can add multiple images and videos to the same task.
3.4 General Information
One or more additional fields at the bottom of the form make it easier to search, filter, and follow up on the task afterward. The fields can be text fields, list selections, or date fields. Tap each field and select a value or enter text. Which parameters you see and whether they are required is controlled by the project setup and can therefore vary from project to project. Examples of fields include:
- Title – Free text field. Enter a descriptive title yourself; it is not generated automatically.
- Description – Free text describing the task.
- Responsible Party(ies) – Searchable field where you select one or more people or groups who will perform the task.
- Deadline – Date by which the task should be completed.
- Completed – A simple yes/no confirmation that the task has been completed. Completed is linked with Deadline and Responsible Party(ies) as a small follow-up package but does not by itself change status or functionality—it is only a confirmation. From Completed, you can then change the Step to, for example, Done or Closed.
- Step – see separate section below.
Fields marked "Required" must be filled out before the Create button becomes active.
4.0 Edit a Task
A task can be edited in two ways in the app:
Via marker in the model or map:
- Tap the marker that shows the registration. The number on the marker indicates how many registrations are at the same point—not an order.
- A small list ("Registrations") appears at the bottom with registrations linked to the point.
- Tap the desired registration to open it in edit view.
- Make changes and tap Save.
Via the registration list:
- Open the main menu and go to Registration List.
- Under the Registrations tab, you will find all registrations collected—both standalone tasks and tasks created from an inspection.
- Tap the desired registration to open the same edit view as above.
In the edit view, you can among other things change Step, as well as Title, Description, Responsible Party(ies), Deadline, and Completed.
If the task was created from an inspection, a separate short link is displayed at the top showing which inspection it originated from—tap the arrow to go directly there. A standalone task does not have this link since it is not linked to any inspection.
5.0 Notifications
Responsible Party(ies) and Deadline are linked with the notification functionality: the person or group assigned the task is automatically notified, both in the app and via email. The notification follows the person across products—if you assign a task to someone, they can receive the notification in Interaxo Project even if the task was created in Interaxo Capture.
6.0 Typical Ways to Use a Task
- Assign specific work tasks that arise during a site visit, inspection, or documentation.
- Follow up on actions and measures with responsible party and deadline, regardless of whether they are linked to a deviation or not.
- Document that a task has been completed and close it with full traceability.
- Create the task directly from an inspection, linked to the correct checkpoint.
